Program Coordination Manager

Location: 157 Cottage Street, Franklin, MA (on-site/hybrid)

Employment Type: Hourly

Pay Rate: $25 per hour

Schedule: Approximately 34 hours per week. Must have Saturday availability.

Position Summary

The Children’s Museum of Franklin is seeking an organized, detail-oriented, and customer service-focused Programs Coordination Manager to support the logistics coordination and delivery of the Museum’s educational and family programming.

This role will serve as a key administrative and logistical point of contact for field trips, SparkLab programming, and family programming, helping ensure that programs move smoothly from initial inquiry and scheduling through payment, documentation, preparation, execution and feedback collection.

The Programs Coordination Manager will also be Manager On-Site for two to three days per week.

The ideal candidate is highly organized, communicates effectively with a wide range of people – including children, caregivers, educators, vendors, and community partners – and is able to manage the many small details that create welcoming and well-run program experiences. They additionally have management experience and the ability to lead the day-to-day operations and a collaborative approach to support the Museum team as needed.

Key Responsibilities

Field Trips

  • Manage the scheduling and coordination of Museum field trips, including communicating program details, arrival information, expectations, and other logistics with visiting groups.

  • Serve as a primary point of contact for schools, educators, and group leaders throughout the scheduling and planning process.

  • Coordinate all administrative requirements associated with field trips, including contracts, contact and registration forms, invoices and payments, attendance information, and other required documentation.

  • Maintain accurate and organized records of upcoming and completed field trips.

  • Communicate internally to ensure Museum staff have the information and materials necessary for each scheduled visit.

  • Assist with the on-site facilitation of field trips, including welcoming groups, supporting program activities, managing transitions, and helping create a positive experience for students and educators, under the direction of the Director of Programming.

SparkLab Programming

  • Manage the scheduling and coordination of SparkLab programming, including participant communications, registration information, payments, forms, and other required documentation.

  • Maintain accurate program rosters and communicate relevant information to the Director of Programming and program facilitators.

  • Assist with program preparation and logistics as needed.

  • Help ensure families receive timely, clear, and welcoming communication before programs and follow-up communication and feedback collection post-programs.

Family Programming

  • Manage the scheduling and coordination of family programming.

  • Communicate with program partners, facilitators, and participating families as needed.

  • Manage contracts, contact information, registration and payment details if required, and other program documentation as needed.

  • Coordinate program logistics with Museum staff to ensure spaces, materials, and other needs are prepared in advance.

  • As time and workload allow, assist the Director of Programming with researching,

    developing, and planning new family programs and activities.

Program Administration & Coordination

  • Maintain an organized calendar of field trips, SparkLab programs, and family programs.

  • Track program registrations, payments, forms, contracts, and other required

    documentation to ensure all materials are completed in advance of each program.

  • Help develop and maintain consistent processes, templates, and systems for program scheduling and communication.

  • Respond to program-related inquiries in a timely and professional manner.

  • Work closely with the Director of Programming and other Museum staff to identify

    scheduling conflicts, program needs, and logistical considerations.

  • Provide additional administrative and on-site program support as needed.

Qualifications

  • Strong organizational and time-management skills with exceptional attention to detail.

  • Excellent written and verbal communication skills.

  • Experience as an educator, coach, camp counselor, program facilitator, or in a similar role leading and engaging groups of children is strongly preferred.

  • Strong customer service skills and the ability to communicate professionally and warmly with families, educators, program partners, and Museum staff.

  • Ability to manage multiple programs, schedules, deadlines, and administrative details simultaneously.

  • Comfortable working independently while collaborating closely with the Director of Programming and other Museum staff.

  • Experience with scheduling, program coordination, education, customer service,

    nonprofit organizations, museums, or similar environments preferred.

  • Comfortable working directly with children and families in an active Museum

    environment.

  • Proficiency with common digital tools for scheduling, email, forms, spreadsheets, and document management.

  • CPR/First Aid certification or willingness to obtain.

Schedule

  • Schedule will be developed in coordination with the Director of Programming based on programming and Museum needs, and will include one weekend day as Manager On Site.

  • Some hours will need to align with scheduled field trips, as needed.

  • Occasional evening or weekend hours may be required based on family programming.

Compensation and Benefits

  • Compensation will be commensurate with experience and determined by Museum

    leadership, with guidance from the Board of Directors.

  • This is a non-exempt, hourly position.
